How long we keep information

Names, contact details, address:

  • 12 months maximum. Information is collected each year in January on membership renewal. Information for those who don’t re-join in January is deleted on February 1st.


Purchase or service history:

  • Indefinite whilst a member is active on the Club Control system.


Video recordings of public areas

  • 2 weeks.


Information relating to health and safety (including incident investigation details and reports and accident book records)

  • Permanent record


Correspondence

  • Permanent record for written correspondence, 3 years for email


Who we share information with


Data processors

Vale and West

This data processor does the following activities for us: Manage and audit the club’s accounts. Run payroll for PAYE staff.


GoDaddy Airo

This data processor does the following activities for us: Provide Website, and associated services.


Constant Contact

This data processor does the following activities for us: Email communications.

Club Control


This data processor does the following activities for us: Member management, till system and purchase history.


Paymentsense

This data processor does the following activities for us: Merchant and card purchase services.


How to complain
